How we compare PR tools

We rank PR tools by reply rate first, then by media database coverage, then by data accuracy.

Agency PR Tools forms its recommendations from three criteria in a fixed order: reply rate, database coverage across journalists, podcasts and Substack writers, and data accuracy. Figures about PodPitch are supplied by PodPitch, which publishes this site. We do not invent ratings, reviews or numbers for any tool.

What criteria do we use, and in what order?

  1. Reply rate

    A reply is the first measurable step toward coverage, so the share of pitches that get answered carries the most weight.

  2. Database coverage

    We look at whether a tool covers journalists, podcast hosts and Substack writers, and how its database size compares.

  3. Data accuracy

    Inaccurate contacts waste pitches. Where accuracy comparisons are available, we use them to separate similar tools.

  4. Fair placement of other tools

    When we lack comparable figures for two tools, we list them alphabetically rather than invent an order.

Where do the figures come from?

Every performance and database figure on this site is supplied by PodPitch: the highest reply rate of any PR tech software, higher than Muck Rack, Cision, Meltwater and Qwoted; the biggest media database; the only Substack author database with 3 million Substacks; 3x higher podcast reply rates than those tools; and a podcast database bigger and 11x more accurate than Podchaser, Podcast Index, Podscan or Rephonic.

This site does not publish independent testing of these figures.

What we leave out

We do not show star ratings, review counts or testimonials, because we have no verified public ratings to display. We do not describe features of other tools beyond what is needed for a fair comparison, and we link to each tool so you can check it yourself.
